Email has slowly been replacing faxing when it comes to sending out bid notifications. Unfortunately because of the abuses by mass-mailers sending unsoliceted emails, or SPAM, there have been ever increasing restrictions being imposed on individuals and companies by internet service providers (ISPs) trying to make sure they stay withing new governmental regulations. (The CAN-SPAM Act) Most major ISPs now have limits on the number of addresses a single message can be sent to, as well as hourly and daily limits. When you are trying to notify a hundred or more bidding contractors of a plan revision or addendum, this can add hours to the time it takes to get the word out.
One option for staying well with-in the guidelines is to use an "opt-in" mailing list. Participants must confirm that they wish to subscribe to/receive the notifications, and can un-subscribe at any time. Starting in June of 2008, Bauer Companies will begin migrating to such a system to send out bid invitations and related notices such as addendums, plan revisions, etc.
How it works: If we currently have an email address in our records, you will receive an invitation to join the Bid Notices mailing list. You MUST click the link in that email in order to complete the registration. Once you've done so, that's it.
When we have an invite to bid, an addendum, or other bid notice to send out, everyone subscribed to that list gets an email from us with the up-to-date information. The one downside to this mailing list is that once you have subscribed, you will get every notice that we send out, even those for projects that may include work in divisions you don't cover. However, we feel the positives will easily outweigh that one negative. On the plus side, you will easily stay informed of any changes to the status of projects open for bid. Even if you forget to notify us that you will be bidding a project, you can be assured of getting all notices sent. Since you know where it's coming from, you can set your email program up to flag any email coming from us so you don't miss them. More than one person in your company can subscribe, making sure someone is always kept up to date, or if you go on vaction you can have someone in your office subscribe as well to catch anything sent out while you are gone. And with mobile devices like Blackberry, Palms, and other smart phones becoming more and more popular, you can stay on top of these notices no matter where you are.
You do not have to worry about Bauer Companies flooding your mailbox, currently we project sending only a few notices per week, and all notifications will be short and to the point, typically with a link to a page on our website with further information. We also respect your privacy, and your email address will never be sold, traded or otherwise used by anyone but Bauer Companies. You can also remove yourself or add yourself to the list at any time through the subscription form on our website. Currently we will be using this list as a test for notifications of projects for bid in the Twin Cities, greater Minnesota and western Wisconsin areas.
